Space

Cataloguing

The documents which are dispersed and without any kind of referencing are catalogued and properly organised so that these may be easily searched and found.

Security

Files which contain documents are safely kept in appropriate boxes (42 x 36 x 32 cm) in an environment prepared for archives. The space is equipped with fire, intruder and water detectors and only duly authorized personnel have access to this space.

Legal Period

The recycling procedure of documents is applied in two situations. Firstly, it is applied to day to day documents that after being scanned and catalogued are often destroyed and recycled. Other documents, having complied with the period of legal retention, can be destroyed and recycled at that time.

Resources

The delivery of document storage boxes and files may be classified by the client as urgent or normal delivery. Besides the time spent on the organization and cataloguing of the archives, urgent delivery is executed within a maximum time limit of 2 hours and normal delivery is executed within 24 hours during working days. The tracking of this procedure can be followed up, online, through the client area. It is also possible to previously adjust plans for delivery and retrieval of documents.

Digitalization

Arquivodoc offers its clients numerous advantages through this service: optimization of the archives, user friendly search in the clients’ database and the possibility of simultaneous use of the same document by several individuals permitting efficient and effective utilization of the documents besides having real time access to them.
